Update Sharing Information dialogue box

Use the Update Shared Information dialogue box to view information about a folder or document you have shared with one or more other users. For shared folders, in addition to viewing sharing information, you can also resend pending invitations, delete pending invitations, share with additional contacts, stop sharing with selected contacts, and stop sharing with all contacts. For shared documents, you can also resend pending invitations and share with additional contacts. If you have added annotations to the document, you can either enable the shared contacts to view your annotations or prevent them from doing so.

To view or update folder sharing information, open the shared folder select Actions at the top of the folder, and select Update Sharing Info from the list that appears.

To view or update document sharing information, open the folder containing the document, then do any of the following:

  • Select the checkbox to the left of the document name and select the Update Sharing Info icon (Update Sharing Info).
  • Open the document and select Update Sharing Info at the top of the document.
  • Open the document and select the Update Sharing Info icon (Update Sharing Info) from the document toolbar.
ItemDescription
Folder/DocumentIdentifies the name of the shared folder or document.
Stop sharing this folderAppears for folders only. Select the checkbox to stop sharing the folder. This prevents all users with whom you have shared the folder from accessing it.
Shared byIdentifies your user ID as the name of the user who has shared the folder or document.
Share with the following contacts

Lists each of the users with whom you have shared the folder or document, enables you to share the item with additional users, and enables you to resend invitations to users who have not yet accepted or declined previous invitations.

For folders, you can also change the role of each listed user or stop sharing the folder with them.

To share the folder or document with an additional user, you can enter a user name directly (using the format last name, first name), or you can enter a user's email address. As you are typing, a list of user names may appear matching the characters you have typed. If you see the user name you want, you can select it from the list. Likewise, if the Recent contacts list appears and contains the user name or user's email address, you can select it from that list. After you have identified a user in any of these ways, select Add to Share.

After you add the name, it appears in the Shared With list, along with the names of any other users with whom you have shared the folder or document. Select either Editor or Viewer, depending on the user's role. For folders, if you want to delete a user from the list, select the X to the right of the user's name.

Note: The Resend Invitation button appears following the name of any user who has not yet accepted or declined an earlier sharing invitation. Select the Resend Invitation button, if you want to resend the sharing invitation to the user.
Allow recipients to view all your annotations and highlights?Appears for documents that include annotations only. Enables you to allow or disallow other users from viewing any annotations and highlights you have added to the document.
SaveSelect this to save any updates you have made.
CancelSelect this to close the dialogue box without saving any updates.
